Customer Service  ( Operation) Executive :

  • Arrange booking and shipping space according to the customer's cargo ready date or the targeted shipment date
  • Handling and preparing the full set of shipping documents and ensuring compliance with import and export regulations.
  • Ensure accuracy, completeness, and timely verification of shipping documents required for import/export and prepare per Customer's requirements, including Bill of Lading.
  • Verifying the creditor's bill and preparing payment according to job costing so Finance department can process payment.
  • Create and ensure accurate and on-time billing to customers promptly.
  • Import notice of arrival/vendor invoice/billing to customer
  • Pre-alert submission to the respective agent immediately after the vessel's sailing.
  • Ensure shipping documents are received before shipment arrives at the destination.
  • Liaise effectively with shipping lines, freight forwarders, customs brokers, and other stakeholders to ensure smooth and efficient cargo movement.
  • Monitor shipment activities for timely delivery.

  • Arrange trucking and monitor the custom clearance status if necessary.
  • Ensure timely invoicing of shipments and closure of job files within the specified timeline.
  • Coordinate with local and overseas offices/agents on shipment issues.

Marketing ( Pricing ) Executive:

  • Prepare quotations for local, overseas offices/agents or existing customers, supporting the sales and operations team when needed.
  • Negotiate competitive rates with suppliers ( co-loaders, carriers, and vendors) .
  • Identify and implement continuous improvements in Pricing processes and procedures.
  • Troubleshoot issues promptly and provide effective solutions.
  • Maintain a strong understanding of industry trends, regulations, and best practices in air and sea freight.
  • Perform any other duties assigned by the functional reporting line.
  • Evaluate and negotiate shipping methods and rates with carriers.
  • Collaborate with internal teams (CS, Marketing, and management) to meet customer needs.
  • Collaborate closely with internal stakeholders to ensure seamless communication and workflow.
  • Provide excellent customer service and resolve sales inquiries effectively.
  • Prepare reports on sales data, order status, and customer feedback when necessary.
  • Able to read the service contract and prepare/finish the cost for internal review.

Job Requirements:

  • Minimum of 1-2  years' working experience, fresh Graduates are encouraged to apply
  • Strong problem-solving and customer service skills.
  • High attention to detail and ability to manage multiple tasks under pressure.
  • Ability to work independently and meet deadlines.
  • Proficient in English; Mandarin speakers are an advantage.
  • Proficient in Microsoft Excel, Word, and PowerPoint
