Job Summary
The HR Assistant provides administrative and clerical support to the Human Resources department. This role assists in the daily operations of HR functions, including recruitment, employee records management, payroll support, and general HR administration, ensuring compliance with company policies and procedures.Key Responsibilities
· Manage HR administration, including employee confirmations, renewals, letters, and personnel files.
· Maintain and update employee records (digital and hard copies).
· Prepare HR-related documents such as letters, memos, and reports.
· Provide administrative support to the HR team as required.
· Assist in the recruitment process (posting job ads, screening resumes, arranging interviews, and coordinating with candidates).
· Support the onboarding process, including preparation of offer letters, employment contracts, and induction programs.
· Conduct orientation sessions for new hires.
· Assist in processing payroll and managing staff attendance/leave records.
· Act as leave administrator for the e-leave system, ensuring accuracy of leave details and follow-ups.
· Administer medical benefits and handle insurance claim submissions.
· Update OT timesheets.
· Ensure resignation processes are adhered to and proper exit clearance is completed.
· Handle employee queries regarding HR policies, benefits, and procedures.
· Assist in maintaining compliance with labor laws and company regulations.
· Work with the Safety Coordinator/Officer on work injury reports and submit to relevant parties promptly.
· Participate in safety-related matters, including attending monthly safety meetings when required.
· Provide monthly total manhours to HSE for records.
· Liaise with training providers on training applications and registration.
· Any other tasks assigned.
- Job Requirements
6.1 Educational Qualification and Experience
· Diploma / Degree or equivalent
· 2 to 3 years' relevant experience as HR Generalist;
· Preferably with experience from manufacturing, marine/offshore environment
· Knowledge of Employment Act and regulations
6.2 Skills and Abilities
· Good interpersonal and communication skills
· Independent and pro-active with the ability to work with minimal supervision
· Ability to multi-task in fast-paced environment
· Good organizational skills and ability to multi-task
