Join JLL Malaysia's dynamic team as an Admin & Office Support cum Procurement Assistant, where you'll play a vital dual role supporting both our procurement operations and office management functions.
What You'll Do- Procurement & Supplier Management You'll manage the complete procurement lifecycle, from purchase order creation and supplier coordination to contract administration and vendor relationship management. Your responsibilities include conducting market research, preparing cost analysis reports, and assisting with tendering processes including RFP preparation and evaluation. You'll maintain comprehensive supplier databases, coordinate supplier meetings and site visits, and support contract negotiations while ensuring compliance with company policies and ethical standards.
- Strategic Analysis & Research You'll conduct detailed quote comparisons across multiple vendors, analyze spending patterns to identify cost-saving opportunities, and perform market research to stay current with industry trends and pricing fluctuations. Your analytical work will include creating vendor scorecards, preparing procurement reports with spend analysis, and supporting benchmarking studies to optimize our procurement practices.
- Office Management & Administrative Support You'll serve as the professional face of our management office, greeting visitors and managing reception duties while maintaining a clean, organized workspace. Your administrative responsibilities include processing correspondence, managing document systems, coordinating office supplies and equipment maintenance, and providing comprehensive support to various departments as needed.
- Communication & Coordination You'll act as a key liaison between internal departments, suppliers, and external parties, ensuring smooth communication flow throughout the organization. This includes responding to procurement inquiries, escalating complex issues appropriately, and facilitating effective coordination for administrative tasks across all staff levels.
## What You'll Need
Experience & Skills
- Previous experience in procurement, purchasing, or administrative support roles
- Strong analytical abilities for cost analysis, market research, and vendor evaluation
- Excellent organizational skills with attention to detail for document management and contract tracking
- Proficient communication skills for supplier negotiations and internal coordination
- Computer literacy including Microsoft Office Suite for reporting and presentation preparation
