Position: Executive Assistant cum Admin
Industry: Insurance
Working Location: CCCC Tower, Corporate Tower 8, Pavilion Damansara Heights. 3, Damansara Town Centre, 50490 Kuala Lumpur (WFO)
Working Duration: 12 months contract (Renewable based on performance)
Working Days/Hours: Monday – Friday; 9.00am – 5.00pm
Salary: Basic range from RM3,000 - 5,000 (Based on experience & skills) with statutory contribution + leave entitlement + medical coverage
Job Profile Summary
- Key priority to assist the MD in terms of any requirements (e.g. meetings arrangement, claims processing, any administrative tasks, etc.)
- Executive/Administrative Assistants make sure that work runs smoothly for a team, a department, or senior executives, keeping them organized and providing day-to-day administrative support in the form of travel arrangements, calendar management, expense tracking, document preparation and correspondence.
- An Administrative Assistant provides first-level administrative support while learning routines, acquiring experience and developing skills.
Job Profile Description
- Provides secretarial and related administrative support services to the business to ensure adequate support to professional and management staff. Oversees the delivery of secretarial and related support services to the business under close supervision.
- Creates documents using PowerPoint, Excel, and Word to ensure all documents produced adhere to established standards. Prepares documents by collecting, inputting, and transcribing information.
- Maintains correspondence and data files to ensure accurate recordkeeping.
- Schedules meetings and coordinates setup requirements to optimize management workflow and time.
- Takes and relays phone messages to appropriate individual to support high level of customer satisfaction and communication.
- Scans incoming mail or other documents as instructed and delivers to appropriate parties in a timely manner.
- Always maintains confidentiality, especially when dealing with sensitive information and internal policies.
- Manage internal system operations and external vendor management
Requirements:
- 2–3 years' experience supporting senior management or executives.
- Strong administrative skills: calendar management, meeting coordination, document preparation, and expense tracking.
- Proficient in MS Office (Word, Excel, PowerPoint).
- Detail-oriented, proactive, mature, and able to take initiative.
- Ability to handle confidential information and support operational tasks, including vendor management
