JOB RESPONSIBILITIES

Strategic Planning & Corporate Development

  • Support management in developing, implementing, and refining the company's corporate strategy and annual work plan to align with business goals.
  • Collaborate with cross-functional teams to execute strategic initiatives and monitor the progress of key action plans.
  • Conduct market research and provide insights on business trends, competitor activities, and emerging opportunities.
  • Assist in organizing corporate planning activities, including budgeting, forecasting, corporate events, and performance reviews.

Reporting & Communication

  • Prepare and maintain management reports, business correspondences, and documentation for internal and external stakeholders.
  • Develop and coordinate weekly, monthly, and periodic performance reports, consolidating inputs from various departments.
  • Ensure compliance with internal policies, regulatory requirements, and reporting deadlines, including updates to Regional and Japan HQ.
  • Review, draft, and update internal policies in coordination with Regional/Japan HQ.

Executive and Administrative Support

  • Provide secretarial and business support to the Managing Director, including calendar management, meeting coordination, and business follow-up.
  • Monitor delegated tasks and ensure timely execution.
  • Manage travel arrangements and appointments for management.
  • Liaise with internal and external stakeholders to facilitate efficient operations.

Translation & Interpretation

  • Provide accurate translation of documents and interpretation during meetings and business communications.
  • Translate, draft, and proofread official documents, policies, presentations, and correspondence for both internal use and submission to HQ.

Meeting & Communication Coordination

  • Coordinate and prepare materials for internal and external meetings, including board meetings, monthly reviews, and departmental updates.
  • Take minutes, track follow-up actions, and ensure effective communication between parties involved.

General Management Support & Ad-Hoc Duties

  • Assist management in cross-departmental projects and special assignments as required.
  • Support corporate governance, risk management, and continuous improvement initiatives.
  • Carry out any other duties assigned by Management to support business operations.

JOB REQUIREMENTS

  • Bachelor's Degree or equivalent in Business Studies/Administration
  • Relevant working experience in the document technology with good business acumen is an added advantage
  • Excellent command of written and spoken English, Japanese and Malay
  • At least have 1-2 years of working experience
  • Smart, fast-learning, logical thinking
  • Excellent interpersonal, coordination and organization skills
  • Good PC skill (MS Outlook, Office, Excel, PowerPoint etc) as you are required to prepare presentation material and report
