Role Overview
The Event Operation Executive plays a critical role in ensuring the successful delivery of w.media's events by coordinating logistics, managing vendors, supporting sponsorship fulfilment, and ensuring that all operational elements run smoothly from planning through event day.
Key Responsibilities
Event Operations & Logistics
- Manage and coordinate event logistics, including venue arrangements, equipment, staging, branding, and on-site requirements.
- Oversee event set-up and tear-down executed by external contractors, ensuring adherence to event plans and safety standards.
- Source and liaise with vendors, contractors, and suppliers to ensure timely delivery of services and materials.
Sponsorship Coordination
- Coordinate with sponsors to ensure all entitlements are fulfilled (booth setup, branding placements, speaking sessions, deliverables).
- Act as the point-of-contact for sponsors and exhibitors during pre-event preparation and onsite execution.
Team & On-Site Management
- Command and control to ensure seamless event execution.
- Troubleshoot operational issues on-site and provide quick solutions to maintain event flow.
- Ensure guest experience, registration area, and sponsor activations are professionally managed.
Project Management & Reporting
- Track project timelines and logistics schedules to ensure all tasks are completed on time.
- Provide prompt updates and follow-ups to the management team on any changes, risks, or developments related to the event.
- Assist with post-event reporting, inventory checks, and vendor reconciliation.
Requirements
- 1 to 2 years of experience in event management or related field
- Strong time-management skills with the ability to meet tight deadlines
- Experience in logistics and sponsorship coordination
- Vendor sourcing and negotiation skills
- Problem solving mindset with adaptability in fast-paced environments
- Good communication and teamwork skills
- Able to travel for regional events
