Office Administrator – Job Scope

1. Administrative Support

  • Manage day-to-day office operations and ensure smooth workflow.
  • Handle incoming calls, emails, and correspondence.
  • Prepare documents, reports, and presentations as required.
  • Maintain organized filing systems (physical & digital).

2. Office Management

  • Coordinate office supplies, stationery, and pantry inventory.
  • Liaise with vendors for office maintenance, repairs, or services.
  • Ensure office cleanliness, safety, and proper functioning of equipment.

3. HR & Staff Support

  • Assist in staff attendance tracking and leave records.
  • Support onboarding processes for new employees.
  • Coordinate internal meetings, training sessions, and company events.

4. Finance & Recordkeeping

  • Assist in basic bookkeeping tasks such as invoice preparation, payment tracking, and petty cash handling.
  • Coordinate with accounts department on monthly statements and reimbursement claims.

5. Scheduling & Coordination

  • Manage calendars, appointments, and travel arrangements for management.
  • Organize meetings, prepare agendas, and take meeting minutes.

6. Customer & Visitor Handling

  • Greet visitors and handle reception duties when needed.
  • Provide customer support by directing queries to the correct departments.

7. Compliance & Documentation

  • Ensure company documents follow proper procedures and are updated.
  • Support management in maintaining ISO / QMS records (if applicable).

8. General Support Duties

  • Assist other departments with administrative tasks.
  • Carry out any additional duties assigned by management.

Job Types: Full-time, Contract, Fresh graduate

Contract length: 12 months

Pay: RM1, RM3,981.28 per month
