Key Responsibilities
- Manage the full purchasing cycle: sourcing, analysis, negotiation, approvals, issuing purchase orders, follow-up, delivery, and invoice verification.
- Develop and implement purchasing policies and SOPs to improve processes and achieve cost savings.
- Perform cost-saving initiatives through effective sourcing and negotiation to meet savings targets.
- Conduct strategic analysis to identify purchasing trends and secure best value.
- Verify Purchase Orders and Delivery Orders against supplier invoices before payment submission.
- Liaise with vendors on shipping documents, packing lists, and customs declarations.
- Forecast buying trends to maintain optimal inventory levels for business operations.
- Place orders by brand, based on confirmed OTB (Open-to-Buy) and stock targets.
- Coordinate with principals, freight forwarders, travel agencies, and logistics providers to ensure timely shipments and sufficient inventory.
- Handle product registration, renewal, and audits for medical products (MDA).
- Collaborate with warehouse and storekeepers for inventory control and agility.
- Work closely with Sales and Marketing teams on product and shipment matters.
- Review and improve purchasing policies to meet department KPIs.
- Prepare reports for management review and perform annual supplier evaluations.
- Maintain supplier database and proper filing; manage RFP/RFQ activities.
- Act as the main contact for supplier relationship management.
- Perform other duties as assigned by the superior.
Qualifications
- Diploma/Degree in Business Administration, Procurement, Management, Commerce, or equivalent.
- Minimum 2 years of experience in Purchasing, Inventory, or Material Management (fresh graduates are encouraged to apply).
- Proficient in Microsoft Office; knowledge of ERP systems is an advantage.
- Experience in logistics and import procedures is an added advantage.
- Strong interpersonal and communication skills.
- Languages: Fluent in English and Bahasa Malaysia, both verbal and written.
- Fluency in Mandarin is mandatory to liaise effectively with China-based suppliers.
