HR and Administrative Executive

Key Responsibilities:
1. Administration Management
- Manage company documents, contracts, meeting records, and general filing.
- Organize internal meetings, staff activities, and guest receptions.
- Handle office supplies procurement, asset registration, and general office logistics.
- Supervise staff accommodations, canteen operations, and transportation arrangements to ensure compliance and safety.
- Assist in departmental budget preparation and administrative expense claims.
2. HR and Expatriate Management
- Handle visa and work permit applications and renewals for expatriate employees.
- Manage employee insurance applications and renewals (SOCSO, EIS, medical insurance, etc.).
- Assist in recruitment processes including job posting, candidate screening, interview coordination, and offer preparation.
- Maintain attendance, leave, and employee records accurately.
- Support staff training, performance review, and employee engagement activities.
3. Compliance and Policy Support
- Ensure compliance with Malaysia's labor laws, immigration regulations, and company policies.
- Support the development and improvement of HR and administrative procedures.
- Liaise with government departments, banks, and other agencies for document submissions or official matters.
Job Requirements
- Gender: No restriction

- Education: Bachelor's degree or above (Diploma holders with strong experience will be considered)
- Major: Management, Human Resources, or related fields preferred
- Languages: Proficient in English, Malay, and Mandarin (able to use all three for daily communication)
- Experience:
- Experience in manufacturing or construction companies preferred
- Experience in handling visa/work permit and HR administrative tasks is an advantage
- Skills:
- Strong communication and coordination skills
- Good command of Microsoft Office (Word, Excel, PowerPoint)
- Detail-oriented, responsible, and organized
- Other Requirements:
- Familiar with Malaysia's industrial policies, labor laws, and HR regulations
- Able to work independently and handle multiple tasks under pressure
Preferred Qualifications
- Trilingual in English, Malay, and Mandarin (speaking and writing)
- Possess HR or Administration-related certifications
- Familiar with immigration or HR systems (e.g., Expatriate Services Division, Immigration portal)
- Prior experience in Chinese or multinational companies
