SCOPE OF THE JOB

Accounts payable postings, payment processing and administration work related to AP for Aviation Group.

JOB SUMMARY

Prepare payment to vendor, utilities payment, statutory payment, fixed monthly payments and etc. as approved by Superior on weekly basis. Key into SAP all costs and expenses with verified documents for month end closing to ensure account closing work smoothly. Liaise with vendor and third parties for all related payment matters.

PRINCIPLE DUTIES / RESPONSIBILITIES

· Ensuring all costs and expenses are captured within stipulated timeline with verified documents, i.e all current month's expenses need to be in SAP before month end closing.

· Ensuring the SAP entries are done correctly with minimal mistakes, i.e. correct co code, account code, tax code, cost centre code, currency & etc.

· Prepare payment to vendors both local and foreign effectively and efficiently according to cycle and following the due date.

· Ensuring proper verified supporting documents are attached when preparing for payments; either for superiors' verification and approval or sending to the bank for foreign transfer.

· Ensuring accurate vendor bank details when preparing for M2e, cheques and telegraphic transfers

· Efficient in managing mails and emails received from vendor, authority, bank and other parties.

· Efficient in reconciling vendors statement to ensure cost are captured correctly and timely. Follow up with vendors for invoices not in hand.

· Communicating with vendors on timely manners in terms of payments update, queries and issues.

· Identifying AP transaction that requires intercompany charged back and processing entries in SAP for both payables and receivables.

· Updating AP payment checklist and submit to Superior on weekly basis for monitoring purpose.

· Communicating with 3rd parties such as bankers, auditors, tax agents, government bodies and other subsidiaries as and when required.

· Systematic filing of internal and external documents to ensure easy access when required.

· Dispatch of finance related documents, as and when required.

· To perform any other duties as deemed fit to be within the scope of your position and as determined by Management from time to time.

Skills:

· Accounting software, i.e. SAP
