Description

This is a Contract Position for 12 months via 3rd Party.

To support effective administration and operational delivery of infrastructure and office services by managing invoice processing, procurement support, and employee lifecycle tasks in compliance with company policies and procedures.

To execute and monitor day-to-day administrative and infrastructure functions including invoice verification, service order preparation, financial processing, and employee off-boarding activities. The role also ensures timely data updates in the HSSE e-vetting system and supports the seamless delivery of office-related services and vendor coordination.

Responsibilities

Invoice Checking & Processing

Review and verify invoices for accuracy and completeness before processing.

Prepare and manage Service Acceptance (SA), and Financial Instruments (FI) mainly for:

Manpower Contracts (Onshore/Offshore)

  • Onshore: Salary/Reimbursement & Markup (min. 2 invoices per personnel)
  • Offshore (TWHT): Salary/Reimbursement, Expenses & Markup (min. 3 invoices per personnel)

Background Screening Services

Office Maintenance & Administration Services

  • Coordinate with service providers to compile and ensure timely submission of invoices, delivery orders, and other supporting documents prior to generating the entry sheet for service acceptance. Responsible for processing a minimum of 50 invoices per month from approximate 20 service providers.

General HR Services 

  • Invoice processing for Group Insurance quarterly or annually. 

Service Order (SO) & Purchase Requisitions (PR)

Ensure timely issuance of Purchase Requisitions and Service/Purchase Orders (RO) in accordance with procurement timelines and requirements.

Employee Claims Management

Review and approve employee staff benefits claims through iConcur and accordance company policies and procedure. 

Employee Lifecycle Administration (Off-boarding)

Administer off-boarding process including clearance tracking, asset returns, and system updates.

HSSE E-Vetting Administration

Update and maintain employee data in the HSSE e-vetting system in a timely and accurate manner

Providing General Administrative Support and Value Addition

  • Work collaboratively with the HR & Administration team to provide general administrative support for HR-related activities, projects, and programs.
  • Actively seek opportunities to contribute added value to the team and engage in cross-functional initiatives, projects, and programs.
Qualifications

Bachelor's Degree in Business Administration, Human Resource Management, or related field.

Minimum 5 years of experience in human resources, with emphasis on office administration, recruitment management, and broad HR practices; experience in the oil & gas industry is an added advantage.

Proven ability to work independently under pressure, with strong communication skills and a result-oriented, can-do attitude.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and skilled in using various systems and applications to support office administration functions.
