JOB DESCRIPTION
• Manage work permit and visa applications, renewals, and extensions with government like the Immigration & Labor Department.
• Ensure all foreign workers have valid legal documents, such as passports and permits.
• Stay updated on and ensure compliance with all relevant labor laws, immigration policies, and government regulations.
• Coordinate logistics for new hires, including accommodation, transportation, and meals.
• Prepare official letters for new joiners, such as medical check-up or confirmation letters.
• Manage employee welfare, health, and safety in line with company policies.
• Handle employee grievances, disputes, and disciplinary matters.
• Maintain accurate and confidential records of foreign workers, including personal files, contracts, and permit details.
• Manage payroll for foreign workers, including resolving discrepancies and running payroll reports.
• Manage the repatriation process upon contract completion or termination.
• Ensure all necessary documentation for exit clearance is completed.
• Oversee the departure process, ensuring the employer is present at international exit points as per regulations.
• Prepare regular reports on foreign worker status, such as headcount and permit expiry.
• Act as the primary liaison with government agencies and external service providers, such as agents, and insurance providers.
Qualifications and skills
• Experience: Experience in HR, particularly dealing with foreign workers, is a significant advantage, sometimes requiring 2-3 years or more.
• Skills:
• Proficiency in English and the local language (e.g., Bahasa Melayu).
• Strong administrative and organizational skills.
• Excellent communication and interpersonal skills.
• Ability to work independently and under pressure.
• Knowledge of relevant HR software and systems is often preferred.
