Travel Executive

The Travel Executive assists the Travel Manager(s) to process travel and visa arrangements in accordance with the AFC's internal policies, ensuring timely and accurate billing while working in close collaboration with the other AFC departments and relevant AFC Stakeholders to exchange information, promoting a collaborative, client-focused and results-oriented approach.
Organizational Relationships
- The Travel Executive reports to the Head of the Travel Department.
- The Travel Executive may also report to other Managers in the department as and when required.
Duties and Responsibilities
The Travel Executive's responsibilities include, but are not limited to, the following:
- Process travel application for all AFC Stakeholders, providing economic and efficient travel itineraries while ensuring compliance with AFC rules and regulations, policies, and strategies.
- Handle queries and complaints.
- Maintain and update passport copies of all AFC Stakeholders.
- Filing/E-filing of approved Travel Requisitions.
- Stay up-to-date with changes in travel regulations and guidelines to ensure compliance.
- Coordinate with Embassies / Member Associations to process visa applications and prepare visa invitation letters.
- Compile invoices / credit notes received from the travel service provider, maintain refund records, and verify airfares / invoices and credit notes before submitting them for review.
- Prepare routine correspondence sent by AFC on matters related to travel & visa, including filing/e-filing.
- Assist in documentation of Corporate Fare Agreements and Travel Service Providers.
- Assist in preparation of RFP documents for 'Travel Agency Services' tender process and the AFC's Travel policy.
- Work out airfares depending on the destination, route, and airline price trends in consultation with the Head of Travel.
Knowledge/Abilities/Skills Required
- Diploma in Travel & Tourism Management or similar.
- Minimum 2 years of relevant experience.
- Proficient in Global Distribution System (Sabre and Amadeus) is a must.
- In-depth knowledge of international travel regulations, airfares, ticketing and currencies.
- Good communication skills.
- Critical thinker, problem solver, and team player.
- Exceptional organizational skills, able to manage multiple travel arrangements simultaneously.
- Able to interact, communicate, and negotiate effectively.
