A. Procurement Operations & Planning

  • Prepare and issue purchase orders according to project or corporate requirements.
  • Coordinate with internal departments to understand material, service, and timing needs.
  • Track and follow up on deliveries to ensure on-time receipt of goods and services.
  • Assist in preparing procurement plans in line with project schedules and budgets.

B. Sourcing and Vendor Management

  • Identify and evaluate suppliers for quality, reliability, and cost-effectiveness.
  • Conduct sourcing through RFIs, RFQs, and RFPs in coordination with relevant teams.
  • Maintain approved supplier lists and monitor supplier performance.
  • Build and maintain positive relationships with vendors and stakeholders.

C. Cost Control & Negotiation

  • Source materials and services at competitive prices while maintaining quality standards.
  • Negotiate pricing, delivery terms, and other commercial terms with suppliers under guidance from management.
  • Maintain procurement cost records and assist in budget tracking and reporting.

D. Documentation & Compliance

  • Maintain accurate procurement records, including purchase orders, invoices, delivery notes, and contracts.
  • Ensure compliance with company procurement policies, legal requirements, and industry standards.
  • Prepare procurement reports for management review.

E. Continuous Improvement

  • Assist in reviewing procurement processes and recommending improvements for efficiency.
  • Support internal audits and implement corrective actions as required.

F. Ad-hoc Responsibilities

  • Handle urgent procurement requests and special sourcing requirements as assigned.
  • Assist management or other departments with procurement-related tasks beyond routine duties.
