Job Description: Admin cum HR Executive
Position Summary

The Admin cum HR Executive is responsible for supporting daily administrative operations and executing HR functions including recruitment, onboarding, attendance, staff records, and basic payroll support. This role ensures smooth office operations, proper documentation, and timely HR coordination across all departments.


Key Responsibilities
1. Human Resource Management
  • Assist in the full recruitment process: job posting, screening candidates, arranging interviews, and preparing offer letters.
  • Maintain and update staff records, personal files, contracts, and HR databases.
  • Coordinate onboarding and offboarding processes, including staff orientation, confirmation letters, and exit procedures.
  • Monitor staff attendance, leave applications, MCs, lateness, and ensure accuracy of attendance reports.
  • Support payroll preparation by providing accurate and timely attendance, allowances, claims, and deductions data.
  • Assist in staff performance tracking, KPI updates, and probation review reminders.
  • Handle employee inquiries regarding HR policies, benefits, and general HR matters.

2. Administration
  • Manage office supplies, stationery, and equipment purchasing including stock tracking and vendor communication.
  • Handle general office administration tasks such as filing, document control, printing, and correspondence.
  • Prepare letters, memos, meeting minutes, and reports as required.
  • Assist in scheduling meetings, appointments, and training sessions.
  • Support the management team with administrative coordination across departments.
  • Maintain cleanliness and organization of office areas, storage, and documents.

3. Compliance & Documentation
  • Ensure proper filing of all HR and administrative documents (digital & physical).
  • Maintain confidentiality of staff information and company data.
  • Ensure compliance with company policies, SOP updates, HR regulations, and labor law requirements (where applicable).
  • Assist in preparation of HR reports, audits, and documentation for management review.

4. Staff Support & Welfare
  • Coordinate staff welfare initiatives (birthday list, events, celebrations, engagement activities).
  • Assist in managing uniform issuance, staff ID, onboarding kits, etc.
  • Support HR Manager in handling employee relations and basic disciplinary matters.

5. Coordination with Departments
  • Work closely with Operations, Licensing, Finance, and Training teams for HR and admin-related needs.
  • Follow up on urgent tasks, deadlines, and documentation required from outlets.
  • Assist in helping new outlets prepare admin/HR documentation before opening.

Performance Expectations
  • Accurate and timely attendance & HR data.
  • Smooth onboarding and recruitment support.
  • Proper document control and admin organization.
  • Responsive communication to staff and management.
  • Efficient workflow and minimal errors in paperwork.
  • Strong confidentiality, discipline, and professionalism.

Qualifications & Requirements
  • Minimum Diploma in HR, Business Administration, or related field.
  • 1–3 years experience in administrative or HR roles (preferred).
  • Strong organizational, communication, and follow-up skills.
  • Able to handle confidential information with integrity.
  • Proficient in Microsoft Office / Google Workspace / Lark (advantage).
  • Positive attitude, disciplined, and able to work independently.
