About Us
We are an equipment supply company serving the Oil & Gas and General Industry sectors. Our focus on quality, reliability, and good customer service has helped us build long-term relationships with major industry players. We are now looking for a detail-oriented and proactive Contract Administration Executive to join our team.
Key Responsibilities
(A) Contract Administration
- Draft, review, and administer contracts, purchase orders, and service agreements in line with company policies and client requirements.
- Ensure compliance with contractual obligations, terms, and conditions.
- Track contract performance milestones, deadlines, and deliverables
- Liaise with clients, suppliers, and subcontractors on contract-related matters.
- Provide administrative support for audits, compliance checks, and management reporting.
(B) Finance & Documentation
- Prepare and process invoices, billing, and supporting documentation for clients.
- Verify supplier invoices, prepare payment voucher and supporting documents before payment processing.
- Maintain records of financial transactions related to contracts (invoices, receipts, statements, etc.),scan and file documents monthly in the designated folder.
- Liaise with external parties such as auditors, company secretary, and tax agents to ensure compliance with statutory and regulatory requirements.
Requirements
- Diploma or Bachelor's degree in Business Administration, Finance, Human Resources, or related field.
- 2–3 years' experience in contract administration, preferably in Oil & Gas, industrial equipment, or related industries.
- Strong understanding of commercial terms, procurement, and project documentation.
- Knowledge of invoicing, payment verification, and finance-related documentation.
- Familiarity with basic HR functions such as maintaining employee records, handling HR-related documentation.
- Excellent communication and negotiation skills.
- High attention to detail and strong organizational skills.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Ability to work independently and collaboratively in a fast-paced environment.
Preferred Skills/Competencies
- Familiarity with Incoterms, Letters of Credit (LC), liquidated damages, and related commercial terms.
- Knowledge of import/export documentation and logistics for equipment supply.
- Strong problem-solving and analytical skills.
- Excellent communication, organization, and time management skills.
- Ability to manage multiple contracts, finance, and HR support tasks simultaneously under tight deadlines.
