Account Executive

[Key Responsibilities]

Accounts payable & receivable

• Manage day-to-day finance and accounts administration tasks.
• Process and verify payments (cheques, M2E systems, telegraphic transfer), claims, reimbursements and petty cash.
• Manage AP, AR and GL functions, including e-invoices, journal entries, credit / debit notes, receipts, reconciliation to creditors' statements, fixed assets and aged collections.
• Perform monthly bank reconciliations.

Financial reporting & compliance

• Ensure accurate and timely data entry in accounting software.
• Assist in preparing full sets of accounts (income statement, balance sheet, trial balance, reconciliations, ageing reports).
• Prepare monthly, quarterly and year-end reports, support internal and external audits.
• Ensure compliance with SST, tax regulations, statutory reporting and internal SOPs.
• Maintain accurate and properly filed financial records and documentation.

Budgeting & financial planning

• Assist in monthly budget and cash flow planning.
• Support budget preparation, tracking and expense monitoring.
• Contribute to financial planning and execution for institutional events.

Project & grant support

• Coordinate with departments on financial documentation for projects, procurement and events.
• Support grant management, financial monitoring and reporting for funded research activities.

Process improvement & team support

• Support digitisation of financial records to enhance efficiency and sustainability.
• Contribute to finance-related training and capacity-building within the department.
• Liaise with vendors, bankers, auditors, tax agents, company secretary and regulatory bodies.
• Undertake ad hoc tasks during peak operational periods or as required by management.

[Job Requirements]

Education

• Diploma or Degree in Accounting, Finance, Business Administration, or related field from a recognised institution.

Professional certification

• LCCI / CAT / ACCA (part-qualified) / MICPA / CIMA, or equivalent, is an advantage.
• Knowledge of Malaysian tax regulations and procurement policies is preferred.

Experience

• Minimum 3-4 years of experience in an accounting or finance-related role.
• Prior experience in think-tanks, or government-linked institutions is an advantage.

Key competencies

• Proficiency in accounting software (SQL, UBS, SAGE 300 ERP, or equivalent).
• Strong knowledge of financial and procurement procedures.
• Competence in Microsoft Excel and financial modelling.
• Familiarity with compliance, audit processes and reporting standards.
• Strong analytical skills with attention to detail.
• Ability to manage deadlines and work under pressure.
• Willingness to work extended hours when required.

This position is for a fixed term of two years, inclusive of a 6-month probation, and will be considered for renewal at the end of the contract.
