Human Resource Executive

Key Responsibilities:
1. Recruitment & Placement
- Handle end-to-end recruitment process for both site and office positions (e.g. mixer truck drivers, batching plant operators, site coordinators, admin staff).
- Coordinate interviews, prepare offer letters, and ensure all employment contracts are properly stamped and filed.
- Liaise with department heads to identify manpower needs and ensure timely placement.
- Maintain candidate records and recruitment reports.
2. Onboarding & Offboarding
- Conduct employee orientation and brief new staff on company policies, safety requirements, and HR procedures.
- Collect and verify required employment documents (IC, license, medical report, etc.).
- Handle confirmation, resignation, and termination processes.
- Manage exit interviews, final pay calculation, and clearance documentation.
3. Attendance & Payroll Support
- Verify daily attendance, leave, and overtime for both office and site staff.
- Ensure mixer truck drivers' trip records and allowances are properly recorded and approved.
- Prepare verified attendance summary for payroll submission.
- Maintain accurate leave records in accordance with company policy.
4. HR Administration & Documentation
- Maintain and update employee personal files, HR database, and organizational charts.
- Prepare HR-related letters (confirmation, warning, memo, transfer, etc.).
- Handle contract renewals and stamping under Stamp Act requirements.
- Manage staff update forms, family details, and employee data accuracy.
5. Employee Relations & Discipline
- Attend to staff grievances, disciplinary issues, and absenteeism cases.
- Assist in issuing show-cause letters, warning letters, and disciplinary hearing minutes.
- Support communication between management and site teams to maintain good working relations.
- Promote company values and teamwork culture.
6. Compliance & Statutory Matters
- Ensure timely submission and compliance with EPF, SOCSO, EIS, and PCB.
- Liaise with government agencies (e.g. JTK, PERKESO, LHDN) when required.
- Support HR audit, documentation control, and employee handbook updates.
- Maintain confidentiality and ensure HR practices comply with Malaysian Employment Act.
7. HR Reporting & Coordination
- Prepare monthly HR reports (headcount, turnover, attendance summary, etc.).
- Coordinate HR memos and announcements across all sites.
- Support management in implementing HR-related projects or policy updates.
- Ensure smooth communication between HR, accounts, and operation teams.
Job Requirements:
- Diploma/Degree in Human Resource Management, Business Administration, or related field.
- Minimum 1–3 years of working experience in HR, preferably in construction, transport, or manufacturing industry.
- Familiar with Employment Act 1955 and related labour regulations.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Strong communication, coordination, and follow-up skills.
- Able to work independently and handle multi-site operations.
- High integrity and confidentiality in handling HR matters.
Additional Advantages:
- Experience handling site-based employees and heavy vehicle drivers.
- Knowledge in HRIS or payroll software.
- Able to communicate in English, Bahasa Malaysia, and Mandarin.
- Possess own transport and willing to travel to site locations when needed.
