Key Responsibilities

1. Year-End & Statutory Compliance

·       Plan and coordinate annual audit requirements.

·       Liaise with auditors, tax agents, and company secretary.

·       Prepare supporting schedules, board resolutions, and statutory lodgements.

·       Ensure compliance with annual returns and statutory documentation.

2. Administrative Support

·       Oversee general office operations (procurement, office supplies, refreshments).

·       Manage office equipment, premises, and renewals (licenses, quit rent, assessments).

·       Handle company vehicles (road tax, insurance renewal, fleet card applications).

3. Sales Administration & Coordination

·       Verify and approve all sales invoices, cash sales, and credit notes.

·       Maintain accurate sales reports by quantity and value.

·       Oversee and guide Sales Coordinator to ensure smooth sales processes.

4. Inventory & Costing Management

·       Supervise monthly stock count and reconciliation.

·       Investigate stock discrepancies (damaged, expired, shortfalls).

·       Prepare costing for new shipments and maintain updated cost records.

·       Ensure accurate reporting for audit and compliance purposes.

5. Payroll & HR Support

·       Oversee payroll processing (salaries, commissions, incentives, overtime).

·       Ensure timely submission of statutory contributions (EPF, SOCSO, EIS, PCB).

·       Review annual staff income statements and remuneration reports.

6. Shipping & Logistics (Ad hoc)

·       Liaise with shipping agents for incoming shipments.

·       Ensure proper documentation for clearance and costing.
