HQ Operation Executive (Outlet Management)

Location: Kuala Lumpur, HQ + Outlets

Work Days: 6 days/week (must be available weekends & PH as needed)

Department: Operations

Reports To: Senior Operation Executive / Director of Operations

Role Overview

The HQ Operation Executive is responsible for ensuring all Happy Potato outlets operate at the highest standard in service, quality, cleanliness, and operational efficiency. This role requires strong floor presence, outlet discipline enforcement, and hands-on problem solving. You will support expansion, outlet performance improvement, training, and SOP execution across the region.

Key Responsibilities

  1. Outlet Performance Management

  2. Conduct outlet visits weekly according to schedule

  3. Ensure SOP compliance across food prep, service, hygiene, stock handling
  4. Review outlet sales performance, labour plan & customer feedback
  5. Execute outlet improvement plans and corrective actions

  6. Staff Management & Training

  7. Guide and support outlet crews & supervisors

  8. Ensure staff discipline, grooming & customer service standards
  9. Train new hires on SOP, POS, product quality, and service flow
  10. Support rotation planning & manpower needs

  11. Store Operations & SOP Execution

  12. Follow daily, weekly & monthly operational checklists

  13. Ensure outlets follow Food Safety, QAQC, Halal & EHS standards
  14. Report operational issues & execute action plans
  15. Monitor equipment condition & coordinate repairs

  16. Inventory & Cost Control

  17. Support stock management, wastage control & stock check exercises

  18. Ensure proper FIFO & storage SOP in outlets
  19. Verify ordering and stock usage discipline

  20. Audit & Reporting

  21. Submit weekly outlet audit reports with findings & action points

  22. Follow up outlets until issues fully resolved (not check & go)
  23. Report QC, staff performance, and operations KPI status

  24. Expansion & Project Support

  25. Support new store opening preparation & SOP roll-out

  26. Assist franchisees on operational readiness when needed

Work Schedule & Availability

  • 6-day work week
  • Must be available weekends, peak hours & public holidays
  • Off days based on roster
  • Workday balance between HQ office tasks + field outlet visits

Requirements

  • Diploma/Degree in Business, F&B or related field (preferred)
  • Minimum 2 years experience in F&B operations, retail or fast-food
  • Strong discipline and on-ground presence — not purely office role
  • Able to take feedback, follow structure & enforce SOP confidently
  • Able to travel across outlets (motorcycle/car advantage)
