About the Role

We are a fast-growing Precision Tools Fabrication and Engineering Service provider supporting Semiconductor manufacturers, Automation integrators, and high-precision industries.

To support our daily operations, we are seeking a detail-oriented and proactive Administrative Assistant to handle documentation, planning, coordination, and customer support activities.


Key Responsibilities
  • Maintain and update job orders, work schedules, and project tracking for Toolroom / CNC / WEDM jobs
  • Prepare quotations, invoices, delivery orders (DO), purchase orders (PO), and customer correspondence
  • Assist in coordinating with suppliers, courier companies, and logistics for parts delivery
  • Support the Sales and Toolroom team with documentation, filing, and customer follow-ups
  • Manage administrative tasks: data entry, filing, inventory records, petty cash, office supplies
  • Handle phone calls, emails, WhatsApp enquiries, and customer appointment scheduling
  • Maintain ISO / QA documentation, calibration records, and production forms (if applicable)
  • Assist in HR routines such as staff attendance, leave records, and training schedules
  • Prepare weekly reports for management (job status, purchase list, production updates)

Requirements
  • Minimum SPM / Diploma in Business Admin, Office Management, Accounting or related field
  • 1–3 years experience in administrative or coordination roles (Manufacturing/Engineering preferred)
  • Strong organisational and multitasking skills
  • Proficient with MS Office (Excel, Word), Google Workspace, and basic record-keeping
  • Good communication skills in English & Bahasa Malaysia (Mandarin is a bonus)
  • Fast learner, responsible, and able to work with minimal supervision
  • Familiarity with manufacturing environment or job order systems is an added advantage

Added Advantages
  • Experience in semiconductor precision tools, machining, jigs & fixtures, or automation industry
  • Ability to read simple engineering terminology (optional)
  • Familiarity with production flow: grinding, milling, WEDM, CNC machining
  • Able to work with fast-paced, high-mix precision engineering environment

Working Hours & Environment
  • Monday–Friday (8.30am – 5.30pm)
