Job Summary
The Clinic Assistant supports daily clinical and administrative operations in a general practitioner clinic, ensuring efficient patient flow, excellent customer service, and adherence to healthcare regulations. This role involves assisting doctors in basic clinical procedures, managing front-desk operations, and maintaining a clean and safe clinic environment.
Key Responsibilities1. Patient Registration & Front Desk Duties
- Greet and register patients using clinic management system
- Schedule, confirm, and manage appointments and follow-ups
- Answer phone calls, WhatsApp, and online enquiries professionally
- Process payments, issue receipts, and handle billing/insurance panel claims
- Maintain patient confidentiality in accordance with PDPA requirements
2. Clinical Assistance
- Prepare consultation rooms and ensure readiness of equipment
- Assist doctor during examination and minor procedures (e.g., dressing, ECG, nebulisation)
- Measure and record patients' vital signs (blood pressure, temperature, pulse, oxygen saturation, weight, height)
- Perform basic screening tests such as urine dipstick, glucometer, and rapid test kits
- Prepare medications according to doctor's prescription and provide patient education on usage
- Manage vaccination preparation, cold chain monitoring, and consent documentation
3. Clinic Operations & Inventory
- Maintain cleanliness and infection control protocols in all clinic areas
- Sterilise instruments and ensure proper medical waste disposal (following MOH guidelines)
- Monitor and replenish stock of medications, consumables, and clinic supplies
- Assist in maintaining proper documentation for regulatory inspections (KKM, MPCN, etc.)
4. Customer Service & Patient Care
- Provide patient guidance and support with empathy and professionalism
- Coordinate referrals or follow-up care when necessary
- Handle patient complaints courteously and escalate when appropriate
5. Administrative & Compliance
- Assist in generating daily reports, patient logs, and stock usage records
- Ensure accurate and timely documentation for insurance and panel submissions
- Maintain awareness of clinic SOPs, safety regulations, and emergency procedures
Qualifications & Requirements
- Minimum SPM; Certificate/Diploma in Nursing, Healthcare, or related field preferred
- Fresh graduates are encouraged to apply; on-the-job training will be provided
- Basic computer literacy (Microsoft Office, clinic management software)
- Good communication skills in Bahasa Malaysia and English; other languages an advantage
- Compassionate, responsible, and able to work in a fast-paced environment
- Willing to work shifts, weekends, or public holidays (depending on clinic schedule)
