QUALIFICATION

Ø Candidate must possess at least an SPM, Diploma, or equivalent qualification in Human Resource Management, Business Administration, or a related field.

Ø At least 2 years of working experience in payroll processing, HR administration, or a similar role.

Ø Strong attention to detail and problem-solving skills, especially in handling sensitive payroll data.

Ø Able to work under pressure, positive attitude, self-motivated, disciplined, and able to work independently with minimal supervision.

Ø Good computer literacy, especially in HR and payroll software.

Ø Proficient in Microsoft Excel and Word, with good numerical and analytical skills.

Ø Knowledge of statutory contributions (e.g., EPF, SOCSO, EIS, PCB) and basic employment regulations.

Ø Excellent written and verbal communication skills in English and Bahasa Malaysia.

Ø Ability to start on short notice is an added advantage (Immediate Hiring).

JOB RESPONSIBILITIES

RECRUITMENT / EXIT PROCEDURES OF LOGISTICS DRIVERS

  • Assist in recruitment process (advertising and scheduling interviews).
  • Assist in employee vetting screening.
  • Compile application forms and other supporting documents.
  • Assist in employee on boarding processes.
  • Upload candidate details in system.
  • Request ID / Name Tag / Lanyard / Uniform for new candidate.
  • Conduct Induction Training.
  • Prepare appointment letter, job description, MEMO, or any other related letters.
  • Proper filing and acknowledgments for completed jobs.
  • Handle employee exit procedures.

ATTENDANCE AND PAYROLL

  • Monitor Daily Attendance, email the DTR record to Coordinator 15 days once to confirm the attendance record.
  • Gather and Check the Weekly Trip Allowance Record.
  • Email and Proceed Advance Request.
  • Check, Verify, Keying, and Proceed Logistic Payroll.
  • Extract the Logistic Payroll and submit to Finance.
  • Gather and Proceed Summon and other salary deductions.
  • Troubleshooting payroll solutions.
  • Distribute Monthly Payslip.
  • Prepare and Submit monthly payroll summary.
  • Oversee and perform final checking of payroll for accuracy and compliance across multiple branches.

LETTERS / DOCUMENTS

  • To issue HR-related letters for CNU application.
  • Responsible to prepare documents requested by government such as JTK/SOCSO/EPF and inquiries from client/tender requirements.
  • Assist in handling Labor/JTK cases and prepare necessary documents.
  • Handle Letters / Documents pertaining to Recruitment Procedures, Disciplinary Issues, Transfer, Termination, Resignation, Employee Exit Procedures.
  • Prepare and follow up the acknowledged Memo.

OTHER KEY RESPONSIBILITIES

  • Supervise and provide support to the Branches Team to ensure smooth daily operations.
  • Communicate and relay accurate information to the Superior and Branch Manager in a timely manner.
  • Coordinate logistics-related matters efficiently, ensuring proper documentation and timely execution.
  • Assist in the preparation and issuance of official letters, memos, and internal communications.
  • Handle all incoming telephone calls, emails, and general enquiries; ensure prompt response and information updates.
  • Maintain and update both soft and hard copies of employee records and personal information.
  • Ensure the proper upkeep and compliance of ISO documentation in accordance with company standards.
  • Prepare and submit monthly reports as assigned by the Superior.
  • Maintain and update company databases and systems accurately.
  • Adhere to all company policies, procedures, and standard operating guidelines.
  • Handle confidential matters with discretion and maintain departmental confidentiality
  • Perform any other ad-hoc tasks or assignments as directed by management.
  • Preference will be given to candidates between 28 and 32 years of age.
