As part of our growth strategy, we are strengthening our procurement function to ensure cost efficiency, supply stability, and seamless coordination with our sales operations.

Position Overview

We are seeking a detail oriented and proactive Procurement Executive who is fluent in
Mandarin
to manage sourcing and supplier coordination with our China-based suppliers. This role requires close collaboration with the Sales team to ensure accurate order specifications and timely procurement of goods at optimal cost, quality, and delivery standards.

Key Responsibilities

1.
Supplier Sourcing & Management (China Focus)

  • Source, evaluate, and onboard suppliers primarily from China.
  • Liaise directly with China-based suppliers in Mandarin for quotations, negotiations, order placement, and issue resolution.
  • Monitor supplier performance on cost, quality, delivery, and compliance.

Coordination with Sales Team-

  • Work closely with the Sales team to receive and confirm order specifications, quantities, timelines, and special requirements.
  • Translate sales requirements into clear, accurate purchase orders for suppliers.

  • Ensure alignment between customer expectations and supplier capabilities.

  • Logistics & Delivery Coordination

  • Coordinate with suppliers, forwarders, and internal teams on shipment arrangements.

  • Monitor delivery schedules and proactively manage delays or disruptions.

  • Ensure all shipping documents are accurate and complete.

  • Quality & Compliance

  • Ensure all procured products meet required quality standards and specifications.

  • Handle quality issues, discrepancies, and claims with suppliers.

  • Ensure compliance with internal procurement procedures and external regulations.

  • Documentation & Reporting

  • Maintain accurate procurement records, supplier databases, and costing files.

  • Provide regular procurement and cost reports to management.
  • Support audits and management reviews when required.

Job Requirements

  • Diploma / Degree in Supply Chain Management, Business Administration, Logistics, or related field.
  • Fluent in Mandarin, English, and Bahasa Malaysia (spoken and written) – mandatory for China supplier liaison.
  • Minimum 1–3 years of relevant procurement or sourcing experience (China sourcing experience is an advantage). Strong negotiation, communication, and coordination skills.
  • Detail-oriented, well-organized, and able to work under pressure.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
