Reception & Front Desk Management:

  • Greet patients upon arrival and assist with the check-in process.
  • Answer phone calls, respond to inquiries, and provide information about services.
  • Schedule and manage patient appointments and follow-up visits.

Patient Coordination:

  • Manage patient flow by coordinating appointments between patients and therapists.
  • Confirm appointments and handle cancellations or rescheduling.
  • Ensure patient files and medical records are up-to-date.

Administrative Duties:

  • Maintain an organized filing system for patient records, treatment notes, and administrative documentation.
  • Prepare and manage necessary paperwork, including patient consent forms and medical reports.
  • Ensure compliance with confidentiality and data protection regulations.

Financial & Billing Management:

  • Process payments and issue receipts to patients.
  • Track and manage invoices, insurance claims, and patient payments.
  • Liaise with the finance department for payment reconciliations and monthly reporting.

Inventory & Supplies Management:

  • Monitor and maintain office supplies, clinical consumables, and equipment.
  • Order supplies as needed and ensure all necessary materials are available for daily operations.

Center Cleanliness & Organization:

  • Ensure the center's reception, waiting area, and treatment rooms are clean and well-organized.
  • Coordinate with maintenance teams for any repairs or cleaning services.

Support for Therapists:

  • Assist physiotherapists with administrative tasks related to patient management.
  • Help with scheduling, record-keeping, and patient reminders.

Reporting & Communication:

  • Prepare daily, weekly, or monthly administrative reports for management review.
  • Communicate important patient information and operational updates to the relevant staff members.

Customer Service & Patient Relations:

  • Handle patient complaints or issues with professionalism and care, ensuring timely resolution.
  • Ensure a welcoming and positive experience for all patients.
