Key Responsibilities:

  • Act as liaison with accreditation bodies on all accreditation matters, including attending forums and responding to accreditation audits.
  • Establish, implement, and maintain management system procedures in line with accreditation rules and internal requirements.
  • Evaluate the effectiveness of the certification system based on internal/external audit results and client feedback or complaints.
  • Report to top management on management system performance and identify areas for improvement.
  • Take corrective actions on deviations found during internal or accreditation audits, ensuring actions are effectively implemented.
  • Update, control, and maintain the Quality Manual and relevant quality procedures.
  • Inform the Certification Advisory Board (CAB) on external audit results, certification activities, and policy implementation.
  • Organize and lead Management Review Meetings, CAB Meetings, Internal Audits, and External Accreditation Audits.
  • Ensure audits are performed by qualified auditors; review ATEA, audit contracts, and confirm auditor competency.
  • Manage auditor and technical expert appointments, scope extensions, and annual EoE planning.
  • Disseminate updated technical and accreditation information to auditors and certification staff.
  • Approve auditor applications and scope extensions for Standards Malaysia.
  • Review and act on rejected audit files and monthly rejection reports from technical reviewers.
  • Support overseas audits and act as certifier for final audit report approvals and certificate releases.

Audit File Compilation & Documentation:

  • Follow up with Lead Auditors on audit file submission and compile files for technical or peer review.
  • Track rejected file status and ensure timely resubmission.
  • Prepare draft certificates, confirmation letters, and letters of recommendation for clients.
  • Handle certificate issuance, including printing, approval checks, and ensuring payment clearance.
  • Maintain client databases and filing of audit reports, certificates, and correspondence.
  • Coordinate overseas auditor assignments and issue work orders for management approval.
  • Issue suspension, reinstatement, or withdrawal letters and maintain suspension/withdrawal reports.
  • Prepare monthly and weekly reports (suspension, withdrawal, audit tracking).
  • Send and compile customer satisfaction survey forms post-audit for management review.

Skills and Competencies:

  • Lead Auditor of System Certification or other standards for at least 3 years or
  • Management function in the administration of the external office for at least 3 years
  • In-depth knowledge of the TÜV NORD CERT / TUV NORD Malaysia quality manual and associated documents.
  • Basic knowledge of the manual and associated documents, if applicable
  • ISO/IEC Guides as well as IAF Guidelines
  • Good to excellent command of written English
  • Ability to work independently and with confidence
