JOB RESPONSIBILITIES
- Provide personalized concierge and lifestyle services to family and clients.
- Arrange family travel plans including booking of flights, accommodations, visas, ground transport, restaurant reservations, sightseeing and planning of itineraries.
- Support the management of extensive and active family calendars across different time zones, schedule meetings and coordinate logistics for appointments and engagements and accompany to meeting if necessary.
- Assist in tracking and ensuring timely renewals of all family identity documents such as passports, re-entry permits, and APEC cards.
- Support in various business development and corporate communication projects and events as assigned.
- Assist in sourcing products or services online and offline and coordinate logistics including payment, shipping, and insurance matters.
- Help arrange appointments and restaurant reservations for both personal and professional needs.
- Offer support during special events and with visiting guests.
- Assist in planning family and household events including managing RSVPs and liaising with caterers or vendors.
- Serve as a point of contact, helping to coordinate external contractors and schedule appointments for household upgrading projects and general repair works.
- Collaborate with internal departments and stakeholders on assigned tasks and simple cross-functional matters.
- Manage personal errands such as shopping, deliveries, bookings and ad-hoc requests.
Maintain organized records of expenses, itineraries etc.
Perform errands and support any ad-hoc duties as and when assigned.
JOB REQUIREMENTS
- Maintains a high level of confidentiality, discretion and trustworthiness at all times and responds with urgency when required.
- Able to work under pressure while adapting quickly to changes and interruptions.
- Highly organised, efficient, responsible, and self-motivated with a hands-on attitude.
- Resourceful and quick to learn across a wide range of general topics related to the role.
- Possesses good interpersonal skills and demonstrates strong work ethics.
- Proficient in Microsoft Office Suite, Google Workspace, and scheduling tools and familiar with Apple computers and iPhones.
- Flexibility for occasional after-hours work during evenings or weekends.
- Proficient in English, command of other languages a plus.
- Demonstrates strong attention to detail with a willingness to deliver high-accuracy work in a fast-paced environment.
