Invoicing Assistant

TCE Sports Sdn Bhd, a George Town-based fishing tackle company, seeks a full-time Support Assistant for its Biz-Support team. This role focuses on maintaining daily administrative and operational functions, primarily order processing, logistics, and inventory management, to ensure business accuracy and efficiency.
Key Responsibilities
Order Management:
Process daily orders from various channels including Sales & Marketing, Service Centre, Warehouse, and eCommerce platforms (e.g., Site Giant, Shopify, Lazada, Shopee), ensuring accurate system entry.
- Coordinate deliveries with internal teams and external logistics or courier services.
- Track order statuses, resolve discrepancies, and provide updates to stakeholders.
- Manage documentation for sales, deliveries, invoices, credit notes, returns, exchanges, and repairs.
- Coordinate export shipments and prepare all necessary export documents.
Inventory Control:
Execute comprehensive inventory recording, including stock movement, adjustments, and reporting.
- Assist with year-end stock-taking activities at the Warehouse for accurate inventory reconciliation.
- Support ongoing inventory monitoring and data entry to maintain precise stock levels and identify potential issues.
Document Management:
Maintain an organized and accessible system for filing and eFiling business documents.
- Ensure quick retrieval and enhanced traceability through systematic archiving.
General Support:
Undertake additional assigned tasks with enthusiasm and adaptability to support the team and business as needed.
What We're Looking For
- Education: Minimum SPM or STPM preferred with accounting knowledge; a Diploma is an advantage.
- Experience: At least 2 years of relevant experience in a similar administrative or operational support role. Prior experience in the trading or retail industry and knowledge of e-commerce platforms (Site Giant, Shopify, Lazada, Shopee) are highly regarded.

- Strong analytical acumen, efficiency, and initiative.
- Ability to work well independently and in teams, with excellent attention to detail and commitment to accurate record-keeping.
- Strong time management skills to ensure accuracy and meet deadlines.
- Proficiency in Malay and English is highly favorable; fluency in Mandarin is a significant plus.
- Computer literate with advanced Microsoft Office Suite (Word, Excel, Outlook) and practical experience with SQL Accounting systems.
