Job Summary

This position plays a pivotal role in ensuring the smooth administrative operations related to project - based human resources. This position is responsible for effectively managing employee - related data and processes within projects, which are essential for maintaining project timelines, resource allocation, and overall project success.

Job Responsibilities:

Employee Leave Management

  • Monitor and track sick leave and annual leave requests of project employees. Ensure that all leave requests are submitted in accordance with the company's leave policy and project requirements.
  • Maintain accurate records of all leave taken by employees, including the start and end dates, type of leave, and any relevant documentation. Provide regular reports on leave usage to project managers.
  • Resolve any leave - related issues or disputes that may arise, such as conflicting leave requests or questions regarding policy interpretation. Liaise with employees and managers to find amicable solutions.

Timesheet Collection and Management

  • Coordinate the collection of timesheets from project employees on a regular basis, typically weekly or bi - weekly. Ensure that all timesheets are submitted accurately and on time.
  • Review timesheets for completeness and accuracy, checking for correct project coding, task allocation, and hours worked. Follow up with employees to correct any discrepancies or missing information.

Employee Data and Reporting

  • Maintain a central database of employee - related information for projects, including contact details, job roles, and leave balances. Keep this information up - to - date and accessible to relevant stakeholders.
  • Generate ad - hoc and regular reports on employee - related metrics, such as leave trends, overtime hours, and resource availability. Present these reports in a clear and understandable format to project managers and senior management to support decision - making.

Communication and Liaison

  • Act as a primary point of contact for project employees regarding leave and timesheet - related matters. Provide clear and concise information on policies and procedures, and respond to inquiries in a timely manner.
  • Collaborate with the human resources department to ensure that all employee - related processes are in line with company - wide HR policies. Share relevant data and insights to support HR initiatives, such as performance reviews and workforce planning.

Job Requirements

  • Diploma and above in business administration, human resources, or a related field is preferred. Relevant work experience may substitute for educational requirements in some cases.
  • At least 2 years of experience in an administrative or project - support role, preferably with exposure to employee leave management and timesheet processing.
  • Familiarity with project management methodologies and tools is an advantage.
  • Excellent attention to detail, especially when dealing with numerical data and employee records.
  • Proficient in using office software, such as Microsoft Excel, Word, and Outlook.
  • Good communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
  • Problem - solving skills, with the ability to identify and resolve issues related to employee leave and timesheet management in a timely and efficient manner.
