Procurement/Purchasing Executive

About the role

We are seeking a skilled and motivated Procurement Executive to join our dynamic team at Codetrace Sdn Bhd in our Shah Alam, Selangor office. In this full-time position, you will play a vital role in our procurement and inventory management processes, contributing to the overall success of our manufacturing, transport and logistics operations.

What you'll be doing

• Identifying, evaluating, and selecting suppliers; negotiating contracts and purchase orders for favorable terms.
• Managing day-to-day purchasing, processing purchase orders, and tracking deliveries to ensure they meet company standards.
• Ensuring purchases are cost-effective, managing budget adherence, and maintaining contract compliance.
• Monitoring supplier performance through key performance indicators (KPIs) and audits, and addressing any issues.
• Working with internal departments to understand their needs and aligning procurement with broader business goals.
• Maintaining accurate procurement records and documentation for compliance purposes.
• Collaborating with internal departments to confirm that goods and services have been received as ordered. This data is crucial for performing the three-way match (PO, invoice, and receiving report).

• Reviewing invoices for accuracy and resolving discrepancies with vendors regarding pricing, quantity, or terms before they are approved for payment.

• Manage the procurement of materials, goods and services according to Codetrace's policies and procedures

• Negotiate with suppliers to secure the best possible prices, delivery times and terms
• Maintain accurate and up-to-date records of all purchasing activities and inventory levels
• Identify opportunities to streamline procurement processes and reduce costs
• Monitor and report on supplier performance and market trends
• Assist in the development and implementation of inventory control systems
• Collaborate with cross-functional teams to ensure timely delivery of required materials and supplies
• Work with other departments, such as sales, project and finance, to understand needs and process payments.

What we're looking for

• At least 4 years of experience in a purchasing or procurement role in automation and related engineering/manufacturing industries.
• Fresh graduates are welcome to apply.
• Strong negotiation and communication skills, with the ability to liaise effectively with suppliers and internal stakeholders
• Excellent analytical and problem-solving skills to optimise purchasing and inventory management
• Proficient in the use of procurement software, ERP systems and MS Office applications
• Attention to detail and a keen focus on cost-saving and process improvement
• Proactive, adaptable and able to work independently as well as part of a team
