Responsibiliities/Duties

  1. Office Administration & Operations

  2. Oversee and manage daily office operations to ensure efficiency.

  3. Maintain office supplies, equipment, and inventory, ensuring timely replenishment.
  4. Coordinate office maintenance, repairs, and vendor services.

  5. Project Support

  6. Coordinate with project managers and site teams for administrative and operational support.

  7. Support project scheduling and milestone tracking to prevent delays.

  8. Project Documentation & Tracking

  9. Assist in preparing and managing project-related documentation, such as contracts, purchase orders (POs), and progress reports.

  10. Ensure project documentation is accurate, up-to-date, and compliant with company and regulatory requirements.
  11. Support cost tracking and financial reporting for construction projects.

  12. Procurement & Vendor Coordination

  13. Prepare and process purchase requisitions (PRs) and purchase orders (POs).

  14. Liaise with suppliers and subcontractors for quotations, deliveries, and invoicing.
  15. Track and follow up on procurement and material deliveries to ensure timely availability.

  16. Communication & Coordination

  17. Handle calls, emails, and correspondence professionally.

  18. Schedule and coordinate meetings, site visits, and travel arrangements for management.
  19. Support interdepartmental communication to ensure workflow efficiency.

  20. Any other tasks assigned by HOD/Management

Requirements & Qualifications

  • Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum 2-3 years of experience in office administration, preferably in the construction industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management tools.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Familiarity with construction documentation, procurement processes, project scheduling.
  • Work independently with minimum supervision.
  • Mandarin-speaking candidate is added advantage.
  • Based in JB office.
