Key Responsibilities / Job Scope:

1. Order Processing & Documentation

  • Process sales orders, invoices, delivery orders, and quotations accurately and promptly.
  • Prepare and maintain sales-related documents (contracts, proposals, purchase orders).
  • Coordinate with logistics/warehouse for timely order fulfillment and delivery.
  • Update and maintain the order tracking system.

2. Customer Service Support

  • Serve as a key contact for customer inquiries via phone, email, or chat.
  • Handle customer complaints or issues and escalate when necessary.
  • Provide after-sales support and follow up on customer feedback.

3. Sales Team Support

  • Assist sales representatives with client communications, scheduling meetings, and preparing sales materials.
  • Maintain and update customer data, interactions, and sales activities.
  • Generate sales reports (daily, weekly, monthly) for management review.

4. Inventory & Stock Coordination

  • Monitor stock levels and liaise with the inventory/purchasing department for replenishment.
  • Update sales team on product availability and stock issues.

5. Administrative Duties

  • Manage filing and documentation for the sales department.
  • Assist in preparing presentations, sales forecasts, and performance trackers.
  • Support in organizing sales events, meetings, or promotional activities.

6. Reporting & Data Management

  • Compile and analyze sales data to assist in strategy planning.
  • Ensure data accuracy across sales records and financial documents.
