Job Responsibilities
Main Purpose Of The Job The Parts Administrative Executive (Operations/Warehouse) supports all administration functions of the Parts Department, including paperwork, data collection/input, etc., for both operations and warehouse. Job scope entails raising of PO as well as document preparation for outgoing shipments to customers. Duties & Responsibilities- Raising and keying in PO into the DMS for all purchases required by the department.
- Performing goods receiving/IC coding and generating binning lists according to locations and customers’ orders.
- Preparing all shipping documents, including country of origin, actual weight (kgs), and volumetric weight (m3) for customers.
- Recording all incoming and outgoing DG items and ensuring compliance.
- Assisting in parts claims and following up with the principal, Porsche AG.
- Assisting in parts claims and following up with the insurance agent.
- Monitoring all exchange parts to be returned back to Porsche AG.
- Checking and coordinating the return of parts under recall campaigns as advised by the principal.
- Monitoring both air and sea shipments for ETA.
- Following up on short landed shipments with the forwarder.
- Informing parts advisors on the arrival of urgent parts.
- Supporting warranty department on their inquiries for parts claims.
- Verifying invoices from suppliers.
- Verifying all overtime hours performed by parts staff.
- Overseeing the Parts Administrative Assistant.
- Carrying out other duties that may be assigned from time to time by the Management.
Job Requirements
- Minimum a Diploma holder with 5 years of relevant working experience in the automotive parts industry.
- Knowledge of car components, accessories, and parts pricing.
- Proficient in inventory systems, record keeping, and detail recording.
- Resourceful in light vehicle spare parts suppliers.
- Must possess Class 3 / 3A / 3C driving license.
- Self-motivated and able to work independently as well as part of a team.
