The
Project Secretary/Project Management Assistant takes responsibility for all document control, organization and administration duties related to the project, and serve as the first line of contact for all related enquiries, both internal and external clients.
They assist the Project Manager in the overall management and administration of the project and assists in establishing driving projects and keeping them on a realistic timescale and budget.
The role also provides secretarial administrative support including typing and editing documents, management of expenses for Project Manager and Construction Manager and filing.
To be successful in this role, you should be well-organized, have great time management skills, have strong problem-solving and project management skills, and have the right mindset for the job.
Job Tasks and Responsibilities
- Primarily the Project Management Assistant under occasional supervision performs varied and complex administrative and secretarial work requiring knowledge of practices and procedures of the department and communicate with staff and external stakeholders.
- Include composing and/or preparing reports and correspondence, researching and compiling data, scheduling meetings and appointments, maintaining calendars, preparing meeting materials, maintaining computer recordkeeping operations, establishing, and maintaining filing systems, etc.
- Ensure sound administration and sound communication flow between the project team and the other related parties (internal and external).
- Assists the Project Management in guidance to subordinate managers, enforcement of company and project policies, and liaison between Betty and Wolff Design Sdn. Bhd. and client interface.
- Coordinate arrangements, meetings, and calling jobs. Build good rapport, develop, and maintain a close relationship in all forms of communications, managing and liaising with local authorities, ministries, and government agencies.
- Under the supervision of the Project Manager, compile, proofread, and revise drafts of documents and reports as well as postreviewed contracts and contractual agreements with architects, consultants, clients, suppliers, and contractors.
- Organizes reports on project status, budget spending, risks, and issues for the Project Manager's review and analysis.
- Visit project sites and attend contractor progress meetings to have working knowledge of current project status and issues. Effectively manage and communicate project expectations to team members, internal departments, thirdparty contractors/consultants/vendors, and clients in a timely and clear fashion.
- Identify and manage project dependencies and critical paths. Plan, schedule and track project timelines and milestones using appropriate tools.
Requirements:
- Diploma or Bachelor's Degree/Professional Degree in Engineering/Project Management is preferred. Background in architecture is advantageous.
- Outstanding organizational and time management skills
- Excellent MS Office knowledge
- Excellent verbal and written communications skills in English and/or Bahasa Malay
- Work schedule: Monday to Friday, 9AM to 6PM
