We are in search of a highly organized and proactive Executive Secretary who also acts as a PA to offer administrative support to our CEO.

The perfect candidate requires a minimum of 5 years of relevant experience within a medium to large-scale organization.

The Executive Secretary's role is essential in guaranteeing the seamless and effective functioning of our office, managing various tasks with professionalism and meticulousness.


Key Responsibilities:
  • Administrative Support:
    Offer comprehensive administrative support to the executive team, such as managing calendars, arranging meetings, and organizing travel.
  • Communication:
    Act as the main point of contact for both internal and external communications, managing and directing phone calls and emails accordingly.
  • Documentation:
    Create and distribute correspondence, reports, and presentations, ensuring precision and compliance with company standards.
  • Record Keeping:
    Keep orderly and current records, files, and databases, whether electronic or physical.
  • Meeting Coordination:
    Organize and prepare meeting materials, take minutes, and track action items when necessary.
  • Confidentiality:
    Handle sensitive data discreetly and uphold confidentiality consistently.
  • Team Collaboration:
    Work effectively with colleagues from different departments to bolster company endeavors and projects.
  • Special Projects:
    Aid in miscellaneous projects and duties as delegated by the executive team, displaying adaptability and readiness to contribute to the organization's overall triumph.

A Bachelor's degree in Business Administration or a related field is advantageous. 5 years or more of experience as an Executive Secretary or in a comparable administrative capacity, coupled with strong organizational abilities and keen attention to detail.

Outstanding written and verbal communication skills in English and Mandarin, proficiency in Microsoft Office Suite and other pertinent software applications.

Capability to handle multiple tasks and effectively prioritize workload in a dynamic setting.

Professional conduct and the capacity to engage with individuals at all hierarchy levels within the organization.
