We are seeking proactive professional with unparalleled expertise and commitment to provide exceptional secretarial and administrative support to chairman.

Duties & Responsibilities:

- Serve as the primary point of contact for internal management and external associates on all matters relating to the Chairman.
- Complete a broad variety of administrative tasks that facilitate the chairman’s ability to effectively lead the organisation, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists and making travel arrangements.
- Work closely with the Chairman to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Preparation and compilation of minutes of meeting and business report.
- To provide general, specialised, confidential and time sensitive operational and administrative support in an accurate and flexible manner.
- To provide and maintain the full spectrum of secretarial and administration duties such as arranging meeting schedules, maintaining a proper filing system of documents, arrangement of appointments, travel arrangements, etc.
- To prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Coordinate and organise meetings and events and ensure sufficient time is booked for unplanned interactions.
- General screening of calls, inquiries, visitors, and correspondences.
- Handle confidential matters, and correspondence, arrange appointments, travel arrangements/visa, and coordinate business schedules and itineraries.
- Arrange meetings by scheduling appropriate meeting times, preparing agendas, pre-meeting briefings, booking rooms and planning refreshments.
- Maintain good relations with all departments and update the Chairman of all relevant and important development within the Group as well relevant industry and world information.
- Monitoring staff’s attendance, leave records and overall personnel files, ensuring all information is kept strictly confidential.
- Execute all HR documentation records, issue employment letters, confirmations, staff promotions, acceptance & termination letters, staff personnel info, leave administration records, medical leave records, register new staff & exit staff records, Socso claims Borang 34 and EIS etc.
- Willing to manage emergency cases and perform any ad-hoc duties as assigned.
- Any other assignment or task as assigned by the Company.

To succeed in this role, we will need you to have
- At least 5 year(s) of relevant working experience as a Secretarial, Senior Executive or Personal Assistant to CEO, Chairman, Managing Director or President;
- High level of integrity, professionalism and sound work ethics;
- Proven ability of collaborating and communicating effectively with colleagues and various stakeholders;
- Strong organizational and time management skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to details;
- Proven ability to exercise a high level of integrity and discretion in handling confidential information.
- Proactive approach to problem-solving and able to resolve problems in a prudent and appropriate manner;
- Active listening and excellent in verbal, written and report presentation skills;
- Good command of various relevant languages;
- Ability to give full commitment to duties and responsibilities. Flexibility in working after office hours to ensure timeliness of deliverables and be able to work under pressure at times to handle a wide variety of activities;
- Project management experiences will have added advantage.

**Salary**: RM4,500.00 - RM6,000.00 per month
