Responsibilities- Ensuring the smooth management of daily Human Resources & Administration activities/operations.
- Assisting the Department Head (HOD) in monitoring the daily attendance & movement tracking system of employees, staff turnover, and recruitment status.
- Issuing communications (e.g., memos/circulars/notices) related to human resources matters when necessary.
- Responsible for overtime payments and claims.
- Applying for, renewing, and updating information related to business-related licenses/certificates such as CIDB, MOF, Niosh, or any other relevant certifications.
- Arranging inspections, insurance, and company Vehicle Road Tax.
- Assisting the Department Head (HOD) in preparing required reports regarding staff hiring, training, salary reviews, promotions, salary increments, disciplinary actions taken, and others for management.
- Assisting the Department Head (HOD) in managing and coordinating staff recruitment and conducting interviews with managers involved in staff recruitment.
- Assisting the Department Head (HOD) in managing exit procedures.
- Assisting the Department Head (HOD) in maintaining staff personal files with all relevant updated documents.
- Assisting the Department Head (HOD) in keeping all Human Resources data records (e.g., hiring & selection, salaries, overtime, allowances, etc.) in appropriate places.
- Creating a positive work environment.
- Ensuring an effective health, safety, and security system within the company.
- Human Resources & Administration Policies & Guidelines and Procedures and ensuring compliance by staff; and reviewing and updating as necessary.
- Assisting the Department Head (HOD) in conducting market research, proposing and advising on salary determination and employee benefit programs as needed or required.
- Assisting the Department Head (HOD) in setting performance goals, facilitating performance feedback, coaching, and enforcement.
- Assisting the Department Head (HOD) in handling employee complaints and taking initiatives to resolve issues.
- Assisting the Department Head (HOD) in managing employee discipline, industrial relations matters, and job-related issues.
- Other duties assigned by Management.
