Operations cum Personal Assistant to General Manager

Job Overview:

We are seeking a highly organized and detail-oriented Personal Assistant to the General Manager to provide administrative support. The successful candidate will be responsible for managing the General Manager's schedule, coordinating meetings and appointments, making travel arrangements, and handling administrative tasks. Additionally, the Personal Assistant will be responsible for managing sales reports, invoicing, and outlet menus, taking dictation and minutes, and compiling staff annual leave and medical claims for monthly payroll processing.

Key Responsibilities:

  • Prepare and update paperwork for the General Manager, including sales reports, invoices, and outlet menus.
  • Manage the General Manager's schedule, including scheduling meetings and appointments, and making travel arrangements.
  • Take dictation and minutes during meetings and distribute them to relevant parties.
  • Compile outlet staff's attendance, payroll reports, annual leave, and medical claims, and submit them to HR for monthly payroll processing.
  • Prepare the P&L report and submit it to the auditor.
  • Provide administrative support to the General Manager in daily operational tasks, including back-end support.

Requirements:

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office and Google Suite.
  • Highly organized with strong attention to detail.
  • Ability to multitask and prioritize effectively.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience in the food and beverage industry is a plus.
