Job Summary:

To provide administrative support to the Company Secretary department, ensuring efficient operation and compliance with statutory and regulatory requirements. The Company Secretary Admin will assist in maintaining corporate records, preparing documents, and facilitating communication within the department and with external stakeholders.

Job Description:

  1. Administrative Support:
    • Assist the company secretary and the team with daily administrative tasks.
    • Manage the department's schedule, including arranging meetings, appointments, and travel arrangements.
    • Prepare and distribute meeting agendas, minutes, and supporting documents.
    • Handle correspondence, emails, and phone calls, ensuring timely responses.
  2. Document Management:
    • Maintain and update corporate records, including registers, minute books, and statutory documents.
    • Ensure proper filing and archiving of documents, both physical and electronic.
    • Assist in the preparation and submission of statutory filings and returns to relevant authorities.
  3. Compliance and Governance:
    • Support the Company Secretary in ensuring compliance with statutory and regulatory requirements.
    • Assist in the preparation of reports and documents for board meetings and shareholder meetings.
    • Help monitor changes in relevant legislation and the regulatory environment.
  4. Coordination and Communication:
    • Act as a liaison between the Company Secretary department and other departments within the organization.
    • Facilitate communication with external stakeholders, including regulatory bodies, auditors, and legal advisors.
    • Coordinate the distribution of documents to board members and other relevant parties.
  5. Project Assistance:
    • Assist in special projects as required, such as corporate restructuring, mergers and acquisitions, and other strategic initiatives.
    • Support the implementation of new systems and processes to improve departmental efficiency.
  6. Other Duties:
    • Maintain confidentiality and handle sensitive information with discretion.
    • Perform any other related duties as assigned by the Company Secretary or department head.

Job Requirements:

  • Education Level: Preferably a Diploma or Degree in Corporate Administration. However, candidates from other fields will also be considered.
  • Proficient in use : Microsoft Word, Excel, PowerPoint
  • Good in time management, able work under pressure
  • Office location based at Pudu, Kuala Lumpur
