We are seeking an HR Data Administrator to support the HR team in Singapore and Malaysia by ensuring timely and accurate data entry, audits, and reporting within the Human Capital Management (HCM) system. This role requires strong analytical skills to validate work accuracy and optimize HR data processes.

What You'll Be Doing:

HR Data Processing & Administration

  • Perform routine and confidential employment-related transactions, including data entry for new hires, job changes, and terminations in Oracle.
  • Ensure job requisitions and job offers are properly closed and processed.
  • Maintain accurate HR records and documentation while ensuring compliance with company policies and employment regulations.
  • Support onboarding check-ins via Oracle Journeys and pre-onboarding administrative tasks.
  • Enter data into Unit4 and verify that all onboarding tasks are completed.
  • Prepare HR related letters including bank account opening letters, probation confirmation/extension letters, acceptance of resignation letter & exit interview form.

HR Reporting & Compliance

  • Prepare and maintain weekly headcount reports, monthly attrition reports, and quarterly HR metric reports.
  • Process HR-related transactions for non-Oracle applications, including government agency surveys.
  • Conduct audits to ensure data accuracy and compliance with internal and regulatory standards.
  • Analyze current HR workflows to identify and recommend process improvements for efficiency and data integrity.

What We're Looking For:

  • Bachelor's degree in Human Resources or a related field, with 2 years of HR experience.
  • Proven HR experience in a manufacturing environment or in a HR shared service role is preferred.
  • Oracle experience is highly preferred and working experience in HR systems is essential.
  • Solid knowledge of the Employment Act regulations.
  • Self-motivated and able to work independently, demonstrating strong time management, organizational, analytical, and problem-solving skills.
  • Proven ability to handle sensitive personnel information with discretion and independent judgment.
  • Proficient in Microsoft Office applications and advanced Excel skills.
