An Executive Assistant to senior management, including 2 Global Vice Presidents in the chemical industry, providing high-level administrative and strategic support. The Executive Assistant acts as the VP's right hand, managing their schedule, travel, communication, and preparation of documents/presentations. In addition to the core assistant role, there will be supporting activities related to marketing and client management.

Key Responsibilities

  1. Provide comprehensive administrative support to management team members, primarily to 2 Global Business Line VPs, including travel arrangements, hotel booking, visa process, managing calendar and daily agenda, expense reports, and correspondence.
  2. Prepare, plan, collect, and prepare materials for meetings, as well as internal and external business reviews with clients.
  3. Prepare reports, presentations, and other documents as necessary.
  4. Assist in organizing company events, meetings, and team-building activities.
  5. Research, analyse, and summarize information and data for the VP's decision-making and planning.
  6. Handle confidential and sensitive information with discretion and professionalism.

Skills and Qualifications

  1. Bachelor's degree in business administration, management, or other fields.
  2. At least 5 years of experience as an Executive Assistant, Personal Assistant, or a similar role, preferably for a senior executive.
  3. Excellent verbal and written communication skills, with the ability to communicate effectively and professionally with diverse audiences.
  4. Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask in a fast-paced and dynamic environment.
  5. High proficiency in Microsoft Office – mainly in creating impactful PowerPoint presentations and a good working knowledge of Excel is essential.
  6. Exceptional attention to detail, accuracy, and quality, commitment to high-quality work.
  7. Flexibility and adaptability to changing needs and demands of the management executive.
  8. Strong organizational and multitasking abilities in a dynamic environment.
