Your Responsibilities:
Job Scope

As the Operations Manager at GES Logistics, your role is critical in managing the team and other resources required to run the day-to-day activities. You will also set up a library of SOPs per client, per product, while handling VIP clients and overseeing their technical requirements.

Scope 1: Operation Processing
- Oversee the day to day operational tasks, including bookings and liaising with overseas offices
- Negotiate and book cargo with shipping lines/ Airline and review the shipment documents with line / airline
- Review the documentation flow, including bills of lading, packing list, commercial invoice and certificate of origin and licences
- Coordinate the delivery process and manage it until the final destination
- Coordinate with branch manager and accounting team to ensure timely collection and compliance with payment terms
- Follow up with agent closely regarding shipment process

Scope 2: Client Servicing
- Verify the bookings reports and transactions performed by ops team by end of day
- Issue a debit note (invoice) to the client to be paid upon collecting delivery order
- Relay agent and shipment details to client, track and communicate shipment status
- Upsell existing customers and build long term business relationships
- Update the client about the shipment status and ETA (readiness date/if any delay )
- Contact the client post transaction to collect feedback
- Provide client with solutions and proactive attitude
- Ensure positivity and resilience while handling client and shipping difficulties
- Register client satisfaction for future tracking

Scope 3: Team Management
- Oversee team operations and follow up closely on invoicing details
- Manage the team’s load and provide support where needed
- Develop and manage the team, identify relevant trainings, system and other supports required to carry out daily activities and plan for staffs development programs

Scope 4: Data Management, Reporting and Licensing
- Construct a transaction summary report to be submitted to management by end of week
- Logistics report - overview of the total number of shipments, Gained shipment, Profit Margin
- Ensuring all relevant licenses required by Customs or the other government agencies are in place and renewed accordingly before the supposed renewal time.
