Tasks and responsibilities:
The Service Co-ordinator is attached to the Service Department, to carry out general administrative function within the department. Should demonstrate strong sense of ownership in any of tasks, finishing the task within the time required.
General job description:
- Responsible for Arrange all travel logistics, including flights, accommodations, visas, and transportation for the service team.
- Taking minutes for all meetings and send out to relevant personnel.
- Attending to incoming service calls and inquiries
- Generating a draft invoice for customer review for a completed service job.
- Generate service and spare parts quotations.
- Raise a credit note request with the finance department if required.
- Raise a shipping request for spare parts delivery.
- Create a service order for service jobs.
- Monitoring and recording service tools and sending for calibration if necessary.
- Monitoring and recording service engineers’ personal protective equipment.
- Coordinate with training providers for internal and external training requirements.
- Update service engineer training records and competency requirements.
