**About the Role**:
We are looking for a highly organized and detail-oriented individual to join our new team in Kuala Lumpur This role offers the opportunity to provide remote support for our Hearing Care Clinics in Australia and New Zealand, while also handling some key administrative tasks.
**Your main responsibilities and tasks**:
- ** Property Facilities (Remote - Australia & New Zealand)**:
- Manage our facilities service desk for over 200 retail and commercial sites across Australia and 30 sites in New Zealand (remotely).
- Provide assistance with all Property Reactive and Preventative Maintenance in a prompt and efficient manner, including but not limited to;
- Essential services including utilities, Electrical, Fire and Air Conditioning
- Plumbing, Electrical, Carpentry, gardening, cleaning
- Locks, Keys & security services
- Water filters, hydro taps, and hot water systems
- Waste management services
- Emergencies and insurance claims
- Coordinate with contractors and vendors to ensure timely resolutions to maintenance requests.
- Liaise and build relationships with internal and external stakeholders, including staff across all business units, landlords, solicitors, contractors, insurance companies and managing agents.
- Provide administrative support to the Head of Group Property & Property Team.
- ** Administration Tasks**:
- Manage our "Payment Plan" scheme for clients deferring hearing aid payments (remotely for Australia & New Zealand).
- Process client agreements in our ERP system with meticulous accuracy.
- Handle direct debit set up and ensure smooth operation.
- Transfer information from scanned paperwork into the system efficiently and accurately (data entry).
- Maintain clear and organized records of client payment plans.
**Qualifications**:
- Minimum 3 years of experience in a facilities management or administration role.
- Solid understanding of building practices, Cost Management, Architectural design & Mechanical, Engineering & experience engaging these vendors/external providers
- Strong attention to detail and a meticulous approach to work, essential for both data entry and financial tasks.
- Excellent communication and interpersonal skills, with the ability to effectively interact with people from diverse backgrounds.
- Ability to prioritize tasks, manage multiple deadlines effectively, and work independently in a remote setting.
