**What are we looking for?**
We are looking for a Senior Admin Executive who, along with our HR team, will be responsible for will be responsible for the full scope of Admin activities and General Affairs for all facilities and building management, IT, and administration tasks. Your responsibilities include but not limited to the following areas:
- **Duties and Responsibilities**
**Office Administration**:
- Overseeing office supplies and services, including restocking supplies, relocating employees to new areas, setting up desks and equipment for new hires, arranging parking permits for employees, or creating important office forms Inventory
- Facilitate onboarding of new employees, preparing welcome packs, and creating access for new employees.
- Coordinating and managing agendas/travel arrangements/appointments etc. for the upper management.
- Assist HR team with employee engagement and culture building initiatives throughout the year.
- Managing stock for pantries & stationeries for all FPT offices based in Malaysia.
- Serve as primary liaison between company staff and building managers, providing information, answering questions, and responding to the queries.
- Manage company facilities, including space planning/design, vendor contracts and relations, and office functions and services.
- Undertake ad-hoc assignments as and when required.
**Medical Insurance**
- Liaise with medical insurance provider to register new staff, leavers, claims and cancellation of policies.
- Arrange regular medical insurance workshops for staff at points throughout the year.
- Maintain quality customer services by responding to staff insurance inquiries efficiently, sensitively and politely. Protect operations by keeping claims information confidential.
- Stay updated on changes in medical insurance policies and regulations to ensure compliance.
**Expat Management**:
- Prepare accommodation FKW upon request.
- Securing appointment with immigration, authorities, and embassies for documents endorsement
- Liaise with government agencies and authority to ensure processes are within the act/ legal compliance
- Work closely and directly with Immigration and our Client Manager at MDEC
- Resolve all complex enforcement and immigration issues for Associates, improving Client confidence and avoiding escalations

- Excellent time management and prioritization skill, ability to work well in a pressured, deadline, focused, committed team environment.
- Ability to multitask and prioritize daily workload, contribute ideas and implement improvements.

**Salary**: RM3,500.00 - RM4,000.00 per month
