The Personal Assistant to the Director plays a crucial role in providing comprehensive and high-level administrative support to ensure the Director's effectiveness and productivity. This position demands exceptional organizational skills, discretion, and the ability to anticipate and meet the Director's needs.
**Responsibilities**:
**Directly Support the Director**:
- Manage the Director's complex calendar, scheduling appointments, meetings, travel, and events.
- Draft and edit letters, presentations, reports, and other documents as needed.
- Manage and maintain confidential files and documents.
- Conduct research and gather information to support the Director's decision-making.
- Proactively identify and address potential issues or challenges.
**Administrative Tasks**:
- Organize meetings and events, including preparing agendas, booking rooms, and coordinating catering.
- Handle expense reports and invoices.
- Manage office supplies and equipment.
- Maintain filing systems and records.
- Coordinate with other departments and staff as needed.
**Project Management**:
- Assist with project coordination and tracking, ensuring deadlines are met.
- Prepare and distribute project reports and updates.
**General Support**:
- Act as a liaison between the Director and internal/external stakeholders.
- Greet visitors and handle inquiries.
- Anticipate and fulfill the Director's needs and preferences.
