**Job Description - Responsibility Matrix**

**JOB TITLE **Human Resource & Admin Executive

**LOCATION **Sentul, Kuala Lumpur

**MAIN PURPOSE OF JOB **The Human Resource role will mainly lead and direct the routine functions of the Human Resources (HR) department including hiring and interviewing staff, administering pay, benefits, and leave, and enforcing company HR policies and practices.
Besides HR, the role would require basic office administrative functions and supporting ongoing projects.

**REPORTING TO **General Manager

**MAIN DUTIES OF POSITION**
- Manage the entire human resource journey from resourcing, recruiting, selecting, onboarding, performance, salary and wage administration, compensation and benefits, employee relations, industrial relations, staff welfare, learning and development and separation/exit.
- Develop and implement HR strategies and initiatives aligned with the overall business strategy.
- Advise hiring managers on job posting, recruiting, selecting, and interviewing techniques.
- Maintain the work structure by updating job requirements and job descriptions for all positions.
- Support current and future business needs through the development, engagement, motivation and preservation of human capital. Ensure that a co-operative and collaborative culture is encouraged.
- Lead and manage the performance management system across the business that drives high performance. Assess and review individual and team performance, development plans, skills and capabilities.
- Develop talent via effective resourcing practices to attract, engage and retain key/critical talents and be involved in talent management for critical leadership positions, and enhance talent readiness and transition.
- Maintain and manage human resource policies, procedures, and processes ensuring that they are legislatively compliant and reflective of current best practice.
- Organize briefings and conduct training to enable employees to familiarize themselves with HR policies and practices.
- Coach managers in their communication, performance management, feedback, recognition, and interaction responsibilities with their employees.
- Provide timely recommendations to the Director to address people related issues.
- Handle the industrial relations function by assisting in the development and implementation of the Company’s IR policies and procedures.

- Manage matters relating to employee discipline proceedings, performance improvement plans, and grievances through a progressive disciplinary approach.
- Ensure planning, monitoring, and appraisal of employee work results, monitor employee KPIs and discipline issues; scheduling management conferences with employees; hearing and resolving employee grievances; and counselling employees and supervisors.
- Provide advice and counseling on all disciplinary issues and ensure that action taken by the

Company is in compliance with the Employment Act 1955 and Industrial Relations Act 1967, the employees’ contract of employment, and the Company’s Policies and Procedures.
- Manage incoming office routine calls and monthly payables
- Focal person for office reception
- Assist with company utility payables and receivables
- Raise purchase order as requested
- Assist Administrative overflow and projects from other departments as needed.
- To be responsible for arranging travel and accommodation for employees
- Maintain employee holiday calendar
- Maintain office stationeries
- File and maintain office documents, procedures and policies
- Distribute Minutes and memo to team members
- Ensure staff attendance and data entry protocols are followed
- Manage Employee payroll and claims
- Perform general office activities as required.
- Contribute to team efforts by performing other tasks as needed.

**QUALIFICATIONS**
- Bachelor’s Degree in Human Resources, Business Administration, or equivalent.
- Good understanding of the employment act, industrial relation act, and other related employment laws.
- Strategic, liaison management skills and Administrator experience are required.
- Must be mature, self-motivated, committed and able to prioritize in order to close all matters within areas of responsibility.
- Resourceful, problem-solving aptitude and thorough knowledge of HR procedures and policies.
- Experience in preparing management reports and presentation slides.
- Advanced knowledge of MS Office, HR & Admin information systems, and comfortable learning new technology systems as needed.

**EXPERIENCE**
- Minimum 3-5 years working experience in handling full spectrum of Human Resources

& Administrative functions.
