**Position : BD DEPARTMENT ASSISTANT**

**What are we looking for?**
**Duties and Responsibilities**
1. **Administrative Support**: Provide administrative assistance to department managers and team members.
2. **Document Management**: Assist in the creation, editing, and formatting of documents such as reports, presentations, and memos. Maintain organized filing systems, both physical and digital, to ensure easy access to important information.
3. **Communication Coordination**: Facilitate communication within the department and with external parties.
4. **Meeting Coordination**: Arrange and coordinate department meetings, including scheduling, preparing agendas, and taking minutes. Ensure that all relevant materials are distributed to attendees in advance.
5. **Data Entry and Analysis**: Assist with data entry tasks, compiling and organizing information for reports and presentations. Conduct basic data analysis as needed to support departmental decision-making.
6. **Event Planning**: Assist in the planning and coordination of departmental events, such as workshops, seminars, or team-building activities. This includes coordinating logistics, securing venues, and managing RSVPs.
7. **Travel Arrangements**: Assist department members with travel arrangements, including booking flights, hotels, and transportation. Ensure that all travel plans align with departmental schedules and budgets.
8. **Inventory Management**: Assist in maintaining departmental inventory and supplies. Monitor stock levels, reorder supplies as needed, and ensure that equipment is properly maintained.
9. **Special Projects**: Support departmental initiatives and projects as assigned. This may involve conducting research, gathering data, and providing administrative assistance to project teams.
**Qualifications and Requirements**:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Previous experience in an administrative role or similar position preferred.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software like SalesForce is a plus.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and accuracy in all tasks.
- Ability to work effectively both independently and as part of a team.
