**1. KEY OBJECTIVES**
- Provide secretarial and administrative support to Head of Malaysia Lang Lebah Development Project to be able to deliver the following key objectives:

- Maintain filing system
- Coordinate flow of information between all management team

**2. PRINCIPAL ACCOUNTABILITIES**
- Perform diverse secretarial duties including typing, scanning and distribution of mails, handling telephone calls, etc.
- Schedule and coordinate all appointments, inter-department meetings and maintain an efficient record of the meetings and also provides the Head of Malaysia Lang Lebah Development Project timely reminders on his appointments/meetings.
- Assist in preparations of presentation materials, both for internal and external use.
- Assist in compilation of weekly reports, monthly forecast reports and Executive Committee reports and also to ensure timely submission to the Management.
- Receive, monitor and track documents to ensure proper handling with regards to signature, distribution and responses.
- Provide administrative assistance to team members by communicating with IT Department, Administrative Services Department etc.
- Preparation of check requests for reimbursements and submit same to Finance Department for processing payment once approval is granted.
- Verification of claims and reimbursements submitted for approval.
- Filing and indexing office correspondence.
- Maintain an efficient Information Management System that includes keeping master files for all outgoing and incoming correspondences for Head of Malaysia Lang Lebah Asset.
- Attend to ad-hoc requests and other duties as assigned.

**3. KEY AUTHORITIES**
- As provided / assigned by Supervisor.

**4. QUALIFICATIONS AND EXPERIENCE Requirements**
- Minimum Diploma in Private Secretarial Course (PSC) or equivalent and 5 years’ experience.
- Good interpersonal and organizational skills.
- Good command in English and Bahasa Malaysia.
- Resourceful, able to work independently, and perform multi-tasks.
- A good team player and able to work under minimum supervision.
- Good computer knowledge with exposure to Exposed to AFE/IAFE, SAP, PRPO, Meeting Arrangement, RFS (Request for Service from Corporate system).

**Job Type**: Contract
Contract length: 4 months

Schedule:

- Monday to Friday

COVID-19 considerations:
Yes RTK test is given on bi-weekly basis to ensure the safety and wellbeing of the staff

**Education**:

- Diploma/Advanced Diploma (preferred)

**Experience**:

- Secretary: 3 years (preferred)

**Language**:

- Bahasa and English (preferred)
