Facilities Management Executive

**Responsibilities**:
**> Building Maintenance Management**
- Assist in implementing & developing flexible system focusing on monitoring of Consultants / Contractors / Vendors’ service contract.
- Prepare plans & schedules for regular and periodic maintenance in conjunction with relevant Department Heads & follow up on quality and execution.
- Maintain & monitor procedures and records relating to the factory outlet shopping mall’s structure, mechanical & electrical maintenance.
- Monitor the ‘Planned Preventative Maintenance’ schedule.
- Support preparation & maintenance of the service charge budget & expenditure.
- Ensure that overall structure & machinery is being well maintained by 3rd Party Contractors in accordance with the maintenance schedules.
- Ensure compliance related to building by-laws, rules & regulations.
**> Safety & Health**
- Ensure all Health, Safety & Environmental statutory obligations and industry best practice procedures and systems are adhered to.
- Assist in the emergency planning & business continuity plan, reviewing and updating as necessary to ensure optimum effectiveness.
- Assist in all accident & incident reporting, including insurance and statutory forms and procedures are correctly completed and adhered to.
- Ensure that all visitors, contractors and occupiers adhere to site health, safety and environmental procedures and are compliant with appropriate regulations.
**> Facilities Management**
- Ensuring smooth daily functioning of shopping mall, facilitating good environment for retailers’ business activity and pleasant shopping environment for shoppers.
- Assist to conduct tenant orientation meetings, which cover ground rules and policy, communication systems, emergency procedures, security procedures, etc.
- Manage tenants shop operational compliance i.e. shop appearance, merchandise, trading hours, waste removal, signage, etc. through regular audits & surprise visits. Rectify any noncompliance through official warning or lease contractual penalties as required.
- Establishes liaison with local Government bodies and all-important Municipal Emergency Services i.e. PDRM, Bomba, Paramedic Services, and etc.
- Facilitate coordination for tenants’ fit out works.
- Supervise contractors/suppliers/vendors related to facilities management.
- Supporting in periodically reviewing the performance of contractors to ensure all standards are being met, reporting of any short comings and proposing further improvement measures.
- Coordinate with landscape architect regarding the selection and purchasing of plants, fertilizers and disease control.
- Coordinate on plant arrangements and decorations according to festive seasons or Mall events.
- Work with tenants on the reserved bays and season passes allocation.
- Coordinate & liaise with DBKL officers during monthly health inspection in the Mall.
**Requirements**:
- Degree / Diploma holder with experience in **Retail Mall Operations & Facilities Management**.
- Permanent vacancy based in KL City area.
Pay: RM3,000.00 - RM4,500.00 per month
